Tariffs, Charge Sets, and Charge Profiles

A brief explanation of what Charge Sets, Charge Profiles, Charge Profile Groups, and Load Tariffs are and their hierarchy.

What is a Charge Set?
A charge set is a collection of charges that you have the intention of invoicing to a single "Bill To", based on accumulated charges for a load. You can have as many charge sets as needed on a single load, to various "Bill To" entities.

To create charges sets and have them automatically apply to loads, you will want to navigate to the "Tariffs" section under "Customers."

What is a Charge Profile?
There are 3 options available in this area of drayOS, which are "Load Tariff," "Charge Profiles," and "Charge Profile Groups." A charge profile can belong to a charge profile group, whereas both a charge profile group and charge profile can be part of a load tariff. As you will see below, a load tariff then consists of charge sets that can be automatically added to loads, based on rules within it.

After clicking the "New" button, in the upper right hand side of the screen, the below screen will show to configure a new Charge Profile. You will name the charge profile, select a charge name, add a description if wanted, the unit of measure, when the charge should apply to a load, and whether it should be auto added. On the lower portion of this screen you can also select the statuses the charge should be calculated against.

After clicking to add a charge the middle portion of the profile opens up to configure, which is arguably the most powerful portion of the charge profile and allows you to create start and end dates for different amounts of the same charge. Not only does this create a historical record but allows you to configure the charge proactively if it changes per week, month, quarter, etc.

Add the bottom of the screen is where you can add additional rules to configure when this charge should be added and has many options to choose from.

What is a Charge Profile Group?
A Charge Profile Group can be created as a set of Charge Profiles that you can then add to a Load Tariff, such as a set of accessorials you may add to every load.

You will do create a Charge Profile Group by first selecting the button to create a new group and then checking the boxes of the charges you intend to have as part of that group.

What is a Load Tariff?
Finally, we come to the Load Tariff which you can add your Charge Profiles and/or Charge Profile Groups to. You will start by selecting the Load Tariff tab and then pushing the "Add Load Tariff" button toward the upper right.

After selecting the add button you will be presented with the below screen. You are now presented with some basic parameters, on the left side of the screen, to configure when this Tariff should be used, based on customer, start and end dates, load type, etc. You also now have the option to create a Load Tariff that applies to all customers.

As shown here, you also have some additional criteria, beyond the basic, that you can configure to ensure the tariff meets the specific criteria you desire.

As noted, the Charge Profiles and/or Charge Profile Groups you previously created can now be added to the Load Tariff, as a Charge Set, by selecting the "Add New Charge Set" button. Based on the criteria you set on the left of the screen and the rules of the Charge Profile, the charges selected to be part of the Charge Set will automatically be added to loads that match the criteria. You can also create a "one off" charge profile by selecting the "Add Charge Item" button.

By selecting "Add New Charge Set" you can also add additional Charge Sets that can be billed to the matching customer or a specified customer, based on your needs.
