Connecting to Quickbooks

Overview of Problem Sync Page

Functionality of Problem Sync Buttons

QuickBooks Settings

To access QuickBooks configuration options, navigate to the Finance category under Settings. This section offers various synchronization options, allowing control over what data is synced at both high and detailed levels.

Problem Sync

Within the QuickBooks ID area of these settings, QuickBooks IDs can be removed to trigger a re-sync or manually overridden if necessary. It is strongly recommended to consult the support team before making changes in this area, as incorrect removal of an ID may disrupt synchronization between systems for the associated item.

Custom Mapping

The Custom Mapping section has been enhanced to include optional fields within the Description area of QuickBooks. This feature supports combined invoices or invoices containing multiple charge sets, improving clarity and customization.

Problem Sync Page Enhancements

Previously known as the "Problem Invoices" page, the Problem Sync page now offers expanded functionality. It provides greater visibility into items requiring synchronization and facilitates syncing actions for multiple data types including:

  • Invoices

  • Payments

  • Customers

  • Credit Memos

Invoice Management

Invoices include additional capabilities such as:

  • Clearing an invoice from the "Invoices" list without attempting a sync to QuickBooks.

  • Moving an invoice to paid status without synchronization.

The latter function is particularly useful when payments or other actions have been applied directly within QuickBooks, allowing the system to accommodate external changes without conflicting updates.

This integration streamlines financial data management and enhances control over synchronization processes between PortPro Services and QuickBooks.
