Waiting Time Audit – Overview & Functionality

The Waiting Time Audit provides visibility into how long a driver spent at a specific location. It also supports downstream processes by enabling the generation of customer charges and issuing driver payments based on that waiting time.


Audit Components

Audit data is categorized into three event types:

  • Pick

  • Deliver

  • Return

For an event to appear in the audit, it must be completed. Each event displays the following:

  • The driver who completed the event

  • The location of the event

  • Arrival and departure times


Time Source and Editability

  • The ‘Time Spent’ value is sourced directly from the Routing page.

  • It is calculated using the Arrival and Departure timestamps for each event.

  • Any updates made to these times on the Routing page will automatically reflect in the Waiting Time Audit.


Charges and Driver Pay

Adding Charges

  1. Click ‘Add to Charge Set’

  2. A module will open, allowing you to:

    • Enter new charge values in the top section

    • View existing charges from the load’s default charge set in the bottom section

  3. Select the Unit of Measure (e.g., per hour, per 30 mins)

  4. The system will automatically calculate the Unit Count based on the Time Spent:

    • 2 hours @ per hour → Unit Count = 2

    • 2 hours @ per 30 mins → Unit Count = 4

    • 2 hrs 20 mins @ per hour → Unit Count = 2.33

  5. Enter Free Units (if applicable) and the Per Unit rate

  6. Click Apply to add the charge

  7. The charge will appear under the Billing tab

  8. The event icon will update to ‘Review’, indicating a charge is present

Note: Only one charge can be added per event from this module.


Adding Driver Pay

  1. Click ‘Add to Driver Pay’

  2. A module will open, mirroring the charge workflow:

    • Top section: enter new pay items

    • Bottom section: view existing pay entries

  3. Choose a Unit of Measure

  4. The Unit Count is auto-calculated using the same logic as charges

  5. Click Apply to add the driver pay

  6. The pay item will appear under the Payables & Expenses tab

  7. The event icon will update to ‘Review’

Note: Only one driver pay line item can be added per event from this module.


Automatically Applied Charges and Pay

If your system is configured for automated Waiting Time billing:

  • The audit will detect and display existing Waiting Time charge or pay line items

  • The event will automatically appear as ‘Review’, indicating that values have already been applied

  • These can be reviewed and confirmed from within the audit interface


Limitations

  • Secondary Charge Sets are not supported; charges can only be added to the default charge set

  • Once a charge or pay item is added for an event, no further entries for that event can be added from this module


Bulk Add Functionality

  • Use the checkboxes to select multiple events

  • Bulk add requires the following fields:

    • Unit of Measure

    • Free Units

    • Per Unit

  • Unit Count is automatically calculated for each item

  • Best Practice: Use filters (e.g., by Customer or Driver) to simplify bulk actions using shared parameters


Report Generation

Attach Report

  • Generates a Wait Time Report

  • The report is automatically attached to the Documents tab of the load

  • Includes:

    • Audit data as seen in the dashboard

    • A screenshot from the Tracking tab showing the driver’s location history

Download Report

  • The report must be attached to the load before it can be downloaded
