Checking Load and Shipment Status
One of the most common uses of the AI Chat Agent is checking the status of a load or shipment. Instead of navigating through the PortPro UI for a specific load, simply ask the AI Agent for the required information.
Ask About a Specific Load:
Example:
"What are the details for load XMTR8_E100003?"
The agent will provide key details for that load, such as its status (e.g., In Transit or Delivered), pickup and delivery times, assigned driver, and more—pulled from real-time data. This is especially useful when a customer calls about a particular shipment, allowing a CSR to get the answer in one step.
Check Status by Load Number or Name:
If the load’s reference number or name is known, ask for its status directly.
Example:
"What's the status of load ABC123?"
The agent might reply:
"Load ABC123 is At Terminal, scheduled for pickup tomorrow at 8 AM."
The agent uses human-friendly terms for statuses and locations, such as "At Terminal" or "Waiting for Dispatch," instead of internal codes.
List Active or Recent Loads:
Example:
"Show active loads."
This prompts the agent to retrieve a list of loads currently in progress or recently updated. By default, the agent may show a summary of recent or active loads if no specific criteria are provided. This feature is particularly helpful for dispatchers wanting a quick operational overview.
Filter Loads by Status:
Example:
"Show all loads waiting for dispatch."
The agent will list loads currently in the "Waiting for Dispatch" stage. Dispatchers often use this to find loads needing driver assignments.
Filter by Date or Delivery Time:
The agent understands date ranges and natural language date references.
Examples:
"Which loads are scheduled for delivery tomorrow?"
"Show loads delivering next week."
The agent interprets relative dates like "today," "tomorrow," or specific dates and returns relevant loads.
Filter by Type or Customer:
For different shipment types or customer-specific queries, apply filters.
Example:
"Show import loads for Customer X."
This combines a load type filter (Import) and a customer filter to return only relevant loads. The agent supports filters by load type (Import, Export, Road, etc.) and customer name.
Count Loads Meeting Criteria:
The agent can return counts of loads based on given criteria.
Example:
"How many loads are currently on hold?"
The agent will provide a numeric count and may also list the loads. Operations managers often use this to gauge bottlenecks.
Urgent Loads (LFD):
LFD stands for Last Free Day—the last day a container can stay without incurring storage fees.
Example:
"List loads whose LFD is within the next 24 hours."
The agent will show which loads are about to hit storage deadlines so priority can be given to them.
Example – Checking a Shipment Status:
User:
"What is the status of load XMTR8_E100003?"
Agent:
"Load XMTR8_E100003 – Status: In Transit (picked up 5/05, due for delivery 5/07). Driver: John D. Current location: Los Angeles Port."
In this example, the agent returned a concise summary including status, dates, and location. Follow-up questions can also be asked, such as:
"Who is the driver?" or "When is it expected to be delivered?"
The agent often includes these details proactively in the first answer.

Generate Load Reports:
Example:
"Show projected revenue by day for this week."
The agent will execute calculations and present the results in a table.
Download Load Data:
When the agent displays a table of load information, click the Download button to save the table as a CSV file for offline analysis or sharing.
Email Load Reports:
When viewing a table of load information, click the Email button to send the data directly to an email address.
Save and Organize Conversations:
Start a new conversation for each different load inquiry to keep chat history organized and easy to navigate.
Search Previous Load Inquiries:
Use the Search field to find previous conversations related to specific loads or customers.
Example – Generating and Sharing a Load Report:
User: "Show all loads with delivery dates this week, grouped by customer."
Agent:
[Displays a table with loads grouped by customer]
[Download] [Email]
User: [Clicks Email button]
Agent: "The table will be sent. Would another email address also be preferred?"
User: "Yes, please send it to operations@ourcompany.com."
Agent: "Email sent! The table has been delivered to both addresses."
