Understanding Pre-Appointment Setup and Workflow

Modified on Thu, 12 Jun at 7:55 AM

A pre-appointment is available for certain terminals that need drivers or trucks linked to an appointment request before assigning a driver to a load. To satisfy these terminal conditions, PortPro offers a way to use pre-selected drivers and trucks without actually assigning them to the load.

First go to Drivers - Driver Profiles and select which drivers you want to use for pre-appointments with the toggle.

To enable the driver for pre-appointments:

  • Driver should be active
  • Driver should be enabled
  • Driver should not be “On HOLD”
  • All the expiration dates (ex Medical, DL) should not be expired
If expiration dates are hit, our system will automatically toggle this function off.

Next go to Equipment - Truck Profiles and you will have the same toggle here to use them for pre-appointments.

To enable the truck for pre-appointments:
  • Truck should have valid license plate number
  • Truck should be enabled
  • Truck should not be “On HOLD”
  • All the expiration dates (ex Registration, Inspection) should not be expired
If expiration dates are hit, our system will automatically toggle this function off.

Now you can schedule appointments for terminals that require a LPN without assigning a driver. Simply click in the Pickup Apt or Return Apt column on the dispatch board and choose your desired times. Our system will pull from your drivers and trucks that are toggled on for pre-appointments and book using this information.

Once you dispatch the driver actually doing the move, the new information will be sent to the terminal appointment website.
