Enforcing Document Requirements

Modified on Tue, 9 Sep at 7:01 PM

While the Document Requirements Agent focuses on defining and managing the rules, these rules are then used by other systems (such as a Document Validator or TMS) to enforce compliance. The agent ensures that the right documents are requested for the right loads, based on the rules that have been set.

How Rules Are Applied

Once a document requirement rule is created and active, it integrates with existing workflows:

  1. Rule Storage: Defined rules are stored in the system and linked to the PortPro account.

  2. System Integration: Other PortPro modules (e.g., load creation, document upload) can query these rules.

  3. Compliance Check: When a load is created or a document is uploaded, the system checks against active rules to determine if all required documents are present.

  4. Notifications: If documents are missing or do not meet the requirements, appropriate notifications or actions can be triggered within the TMS or other integrated systems.

Benefits of Enforced Rules

  • Reduced Manual Work: Automates the identification of required documents.

  • Improved Compliance: Ensures all necessary paperwork is collected for each load.

  • Faster Billing: Prevents delays caused by missing or incorrect documents.

  • Enhanced Data Accuracy: Standardizes document requirements across operations.
