Q1: Can multiple Excel files be connected to a single PortPro TMS account?
A1: An instance of the Excel Spreadsheet AI Agent is typically configured to connect to one specific Excel file at a time. Connecting to multiple Excel files may require configuring multiple instances of the agent or reconfiguring an existing instance for each file sequentially. The exact capabilities depend on the options available within the PortPro AI Marketplace interface.


Q2: What happens if the internet connection drops during synchronization?
A2: If the internet connection is lost, the synchronization process will be interrupted. Once the connection is restored, the agent will attempt to resume synchronization. Delays may occur, and in some cases, a manual restart or verification may be necessary to ensure data consistency.


Q3: How is conflicting data handled if a record changes in TMS while the same row is being edited in Excel (before the polling feature overwrites it)?
A3: PortPro TMS is considered the single source of truth. If a row in Excel is manually edited and corresponds to an existing TMS record (matched by the Primary Key), any Excel changes will be overwritten by TMS data during the next synchronization cycle or when the polling feature detects the matching Primary Key in a newly added row. The polling feature applies only to newly added rows, not edits to rows previously synced from TMS.


Q4: Can specific columns from an Excel sheet be selected for synchronization?
A4: Yes. During the mapping process (Section 3), specific Excel columns can be mapped to PortPro TMS fields. Only the mapped columns are included in synchronization.


Q5: What happens if the Excel sheet contains formulas or charts based on the synced data?
A5: The agent focuses on importing raw data into Excel. Any formulas or charts in other columns or sheets that reference synced data will update automatically based on standard Excel functionality. The agent does not create or manage formulas or charts.


Q6: Is there a limit to the number of rows or the amount of data that can be synced?
A6: There is no fixed hard limit on rows, but performance may degrade with very large datasets. Maintaining manageable file sizes and syncing only essential data is recommended. For extensive datasets, consider filtering or summarizing the data before synchronization if the agent’s capabilities allow.


Q7: How secure is the connection between PortPro TMS and Microsoft OneDrive/SharePoint?
A7: The connection uses industry-standard OAuth 2.0 protocols, meaning Microsoft account credentials are never shared directly with PortPro. Instead, an authorization token grants the agent access to files. This secure method is widely used for connecting cloud-based services.
